Position Title: Operations Administrator

Hybrid: 2 days in the office | 3 days remote

Location: hitech city, diamond hills,Hyderabad, Telangana

Employment Type : Full Time

Contract type: 12-month fixed-term agreement with potential for renewal contingent on performance

As an Operations Administrator, you will become an expert in our proprietary and internally developed software, as well as third-party tools. You will be the primary resource for operations management, focusing on participant satisfaction, program support, workflow improvement recommendations, and general delivery service support.

The ideal candidate will be able to work partial US-business hours (i.e. 8am-12pm / 2pm-5pm across any US timezone).

Job purpose and responsibilities

  • Master our platform and metrics to ensure service standards; interpret and report data; implement initiatives.

  • Create and manage operational email templates.

  • Learn and manage various automation tools.

  • Assist with service provider recruitment, onboarding, and networking on behalf of our program participants.

  • Manage user communication and follow-ups for program support.

  • Triage survey responses and adjust programs as needed.

  • Communicate with participants via email, phone, and video about satisfaction surveys.

  • Partner with Team managers during service provider onboarding for system setup.

  • Leverage technical and product knowledge to troubleshoot any issues.

  • Assist in organizing workshops and customer events.

  • Handle daily admin tasks such as phone support, supply orders, and SOWs.

  • Conduct ad hoc projects for operational needs.

Job requirements education, experience & knowledge

  • Strong analytical skills with attention to detail and accuracy.

  • Customer service oriented, resolving participant issues.

  • Basic knowledge of business operations, especially in Recruitment, HR or customer support.

  • Proficient in data analysis and reports using Excel, Numbers, or Sheets (Tableau training provided).

  • Familiar with marketing CRM (HubSpot), project management (SmartSheets), and support systems (Zendesk).

  • Proactive and solutions-oriented attitude \"helping’ is your middle name\".

  • Self-starter, comfortable working from home, and efficient in multitasking across teams.

  • Proficient with Google applications (Sheets, Slides, Forms).

  • Excellent organizational and communication skills in English.
