Job Title: Planner Scheduler

Job Summary:

If you’re ready for a great job with steady hours, then look no further. We are looking for a highly skilled and responsible Planner Scheduler. You can work and enjoy a steady 40 hours (w/OT options) of Monday thru Friday with a great team. You will be responsible for delivering effective, efficient, and timely service to multiple buildings within the campus. You will need to have strong communication skills and able to foster strong relationships with customers, vendors and team members. You will be responsible for working in our Centralized Maintenance Management System (CMMS), assigning work orders, accepting work orders, working with internal resources as well as vendors to complete work orders, completing financial information for the client and providing EXCELLENT customer service. We are looking for someone who enjoys customer service and has technical knowledge in the MEP world.

Essential Duties and Responsibilities:

  • Handling the Change Work Authorizations (CWA) paperwork from initiation to completion

  • Once the Site manager approves for the CWA to be created, this person would create the CWA and send it to finance along with the proposal. This person would then track the CWA, sending it to all parties, in order, for their signature. Once all signatures are completed, they would send the CWA to the site manager and the finance manager so the project can begin. At the completion of the project, the site manager would then let the finance manager know the CWA is completed. This person would work with all parties involved in the CWA process and keep the site manager update.

  • Work Orders

  • Creation of WOs for the site manager for the vendors, suppliers at the site managers request. Assigning them to the vendors, pushing out the completion date if the project is longer than scheduled for and putting them in a completed status with the correct NTE once the project is completed. Pushing out late WO that are not completed. Conversating with each tech on the WOs for their perspective sites to understand which WO are completed but not in a completed status and then putting them into a completed status as of the day they were completed. Keeping track of the prior day and Open WO report, pushing out, closing without completion or completing WOs that are late and in the red, orange or yellow. Communication would take place with the site manager for the needed action.

  • Mass completing the WOs for the vendors/suppliers just prior to the end of the month.

  • Mass re-assigning WO to the techs for their prospective sites at the beginning of each month.

  • Maintaining the COR sheet for WOs that need adjusted, deleted, added.

  • Handling AP escalations.

  • Assisting with handling the budget.

  • Attending meetings with finance and the site manager for the FY budget creations. Affirming to the site manager any questions about where the overall budget is, the categories and the BOMA categories. Repair and maintenance money in specific categories such as electrical, HVAC, plumbing ect. As well as contingency and CWA funds. This person should be able to let the site manager know if the repair/project will fit in the category, Boma category and the budget or if it will over run any of the listed.

  • Other Duties as assigned.

Qualifications:

  • High school diploma or GED required, vocational or industry trade school required (Work experience may be substituted)

  • 5+ years MEP and CMMS related work experience required

  • EPA Universal certification a bonus

  • Must be 21 years of age or older.

  • Valid Driver’s License required.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
